Flexitime & Time Logging System Version 5.3
System Specification
The system is designed to achieve seamless integration between recording
employee attendance (when they are at work) and what they are doing with that
time. The organisation can then monitor attendance, holidays, personal and
team performance and produce billing information for clients. Data can also
be used by and exported to other systems. The system can be used stand alone
by one person or by many on a network.
Please telephone for a shareware copy if you don't already have one. The
shareware version is a fully working version with a 2 user limit - so if you
want to be really miserable you can avoid paying £60 for a two user network
system and use all of its features - but you won't be able to get any support!
1. Hardware Requirements
IBM PC or compatible
640k RAM
Hard Disk
DOS 3.3 or higher
System will run on a network - the number of users depends on the licence
purchased. It is currently being used on a 200 workstation network.
System performance increases dramatically on faster machines with high levels
of RAM, but it will run on very modest machines also.
2. Flexitime Details
Data entry and analysis in four week periods
Easy to use menus and pick lists - "idiot proof"
12 hour clock
Password system restricts access to individual sheets and denies access to
parts of the system that shouldn't be operated by the casual user
Management/Supervisor establishes length of day, half day, target hours for
4 week period, start and end of core time, carry forwards from period to
period and week to week
Choose which days are "work days". Not restricted to Monday - Friday
Copes with part-timers/job sharers working "odd" hours - even those working
different days/hours in different weeks
Users led through data entry as required. System intelligently guesses which
is the next date to be completed but this can be overridden e.g. to make
corrections
Time worked outside of core time or on non work days automatically added to
overtime
Additional hours (e.g. work at home in evening) coped with
Absences include time off for annual leave, flexitime or lieu of overtime -
all calculations automatic
Time off for other reasons include sick, medical appointment, training,
compassionate and strike/unapproved
Mixed time off between annual leave and another reason allowed
Annual leave carry forwards and annual leave years catered for
Users can print or view sheet to date or do a quick calculation of flexitime,
overtime and annual leave left
End of period print-outs designed for verification by Supervisors
Audit trail produced and retained even if the detailed sheets are deleted
Corrections to carry forwards can be made by supervisor
Add and delete new people (subject to licence purchased)
Set targets/defaults at system, person and individual sheet level
Management analyses of data at person or period level, or combinations of
both.
Report manager uses an interactive query routine to select precise data to
analyse
3. Time Logging Details
Entry by JOB, CLIENT, ACTIVITY.
Employees are taken to that day's time log on completion of that day's
flexisheet.
Employees choose jobs, clients and activities from pick lists and are forced
(but also intelligently helped) to match what they have worked on with the
total amount of time recorded on their sheet for the relevant day.
Employees can enter work on a timed basis or as one off expenses as required -
but only timed entries count towards the day's flexitime target.
Facilities for absence and unproductive time etc, as required by the
organisation.
Batch entry of data is also possible.
Easy maintenance of JOBS, CLIENTS, ACTIVITIES and RATES files.
Currencies with or without decimals
Time Recording period can be set to anything between 1 and 59 minutes
Production of billing information for clients
Reports to screen and printer showing performance over a selected period from
Employee, Employee Work Group, Clients, Jobs and Activities perspectives.
Output can be in ASCII Delimited Text format for use in other programs.
4. Overall
Facilities for backing up, restoring, packing (reclaim disk space) and
reindexing data
System administrator can browse data files, change the master password and
individual passwords (individuals can change their own password), security
level (1-3), change printer, create and edit printer control files, and
establish/alter the basic system settings. Data files are in Dbase III format
so data can easily be used in other applications.
5. How to Register
Cost: (As at June 1995 - please 'phone for current price. Prices exclude VAT)
Base Price £35.00 (UK pounds) per stand alone machine or file
server
Cost per user:
First 2-10 £ 25.00 each
Next 11-50 £ 15.00 each
Next 51+ £ 10.00 each
e.g. Single user version would be £35
10 user network version would be £260
(£35 + (9 x £25 = £225))
50 user network version would be £860
(£35 + (9 x £25 = £225) + (40 x £15 = £600))
There are three ways to register:
1. If you are in the UK the easiest way to register is to complete an order
form and send it to HJS Systems with a cheque for the appropriate amount. The
order form is at the end of this document or in the file "ORDER.DOC". Don't
forget to add VAT at the current rate. There are no shipping charges in the
UK.
2. You can also pay using Compuserve's Shareware Registration Service GO SWREG
- registration is a straight $45.00 (US dollars) per user and there is a
$10.00 shipping and handling fee. The registration number is 3970 and the
program title is FTTL VERSION 5.0. In order to enjoy the benefits of the
staggered charging system please get in touch with HJS Systems first. We will
agree an overall price, how many users you actually want to register and then
how many users you need to register through Compuserve's registration service
to achieve the correct payment (at the moment the Compuserve registration
service cannot handle multiple registrations with differing prices). The
registered version you receive will have the correct number of users on it.
3. You can register FTTL with PsL (the Public Software Library) and pay by
Credit Card. If you don't have a credit card and still want to use their
services (for instance overseas customers wishing to pay in US dollars) you
can send them a cheque by regular mail - make the cheque payable to "Public
(software) Library" - not HJS Systems.
All payments have to be made in US dollars and there is a $15.00 shipping fee
for postage outside the UK. UK residents still have to pay VAT so it is easier
for them to register with HJS direct. The US dollar charges are:
Base Price $45.00 (US dollars) per stand alone machine or file
server
Cost per user:
First 2-10 $35.00 each
Next 11-50 $25.00 each
Next 51+ $20.00 each

IMPORTANT: The above numbers are for orders only. Do not try to contact PsL
for anything else - all they will be able to do is to redirect you to HJS
Systems.
PsL will notify me by E-Mail the day of your order and I will send a
registered version directly to you by regular mail. Please contact HJS Systems
direct to enquire about the status of your order NOT PsL.
The HJS BBS is now available on +44 (0)1203 352326 for support and alpha/beta
testing of latest versions of this and other products.
Money returned if not satisfied after 30 days
Registered users get a personalised copy without the registration reminder
screen and three months telephone/e-mail support and will automatically be
notified of upgrades. Any serious bugs will be rectified and fixes sent to all
registered users of the current main version number (i.e. 5). Suggestions for
improvements are welcome from registered and non-registered users and, if
feasible, will be included in future versions. Registered users should always
quote their name and licence number in communications - the licence number can
be obtained by pressing F2. Registered users are also invited to take part in
our beta-testing program and a commission (10% of registration fee) is offered
to registered users who persuade others to register the system.
All prices are subject to VAT in the UK.
We are also happy to quote for individual tailoring to suit your requirements.
DEFINITION OF SHAREWARE
Shareware distribution gives users a chance to try software before buying it.
If you try a Shareware program and continue using it, you are expected to
register. Individual programs differ on details -- some request registration
while others
require it, some specify a maximum trial period. With registration, you get
anything from the simple right to continue using the software to an updated
program with printed manual.
Copyright laws apply to both Shareware and commercial software, and the
copyright holder retains all rights, with a few specific exceptions as stated
below. Shareware authors are accomplished programmers, just like commercial
authors, and the programs are of comparable quality. (In both cases, there are
good programs and bad ones!) The main difference is in the method of
distribution. The author specifically grants the right to copy and distribute
the software, either to all and sundry or to a specific group. For example,
some authors require written permission before a commercial disk vendor may
copy their Shareware.
Shareware is a distribution method, not a type of software. You should find
software that suits your needs and pocketbook, whether it's commercial or
Shareware. The Shareware system makes fitting your needs easier, because you
can try before you buy.
And because the overhead is low, prices are low also. Shareware has the
ultimate money-back guarantee -- if you don't use the product, you don't pay
for it.
DISCLAIMER - AGREEMENT
Users of the Flexitime and Time Logging System must accept this disclaimer of
warranty:
"The Flexitime and Time Logging System is supplied as is. The author
disclaims all warranties, expressed or implied, including, without limitation,
the warranties of merchantability and of fitness for any purpose.
The author assumes no liability for damages, direct or consequential, which
may result from the use of the Flexitime and Time Logging System."
The Flexitime and Time Logging System is a "shareware program" and is provided
at no charge to the user for evaluation. Feel free to share it with your
friends, but please do not give it away altered or as part of another system.
The essence of "user-supported" software is to provide personal computer users
with quality software without high prices, and yet to provide incentive for
programmers to continue to develop new products. If you find this program
useful and find that you are using the Flexitime and Time Logging System and
continue to use it after a reasonable trial period, you must make a
registration payment of £35.00 to HJS Systems. The £35.00 registration fee
will license one copy for use on any one computer at any one time. You must
treat this software just like a book. An example is that this software may
be used by any number of people and may be freely moved from one computer
location to another, so long as there is no possibility of it being used at
one location while it's being used at another. Just as a book cannot be read
by two different persons at the same time.
Commercial users of the Flexitime and Time Logging System must register and
pay for their copies of it within 30 days of first use or their license is
withdrawn. Site-License arrangements may be made by contacting HJS Systems.
Anyone distributing the Flexitime and Time Logging System for any kind of
remuneration must first contact HJS Systems at the address below for
authorization.
This authorization will be automatically granted to distributors recognized
by the ASP as adhering to its guidelines for shareware distributors, and such
distributors may begin offering the Flexitime and Time Logging System
immediately (However HJS Systems must still be advised so that the distributor
can be kept up-to-date with the latest version of the Flexitime and Time
Logging System.).
You are encouraged to pass a copy of the Flexitime and Time Logging System
along to your friends for evaluation. Please encourage them to register their
copy if they find that they can use it. All registered users will receive a
copy of the latest version of the system.
OMBUDSMAN STATEMENT
"This program is produced by a member of the Association of Shareware
Professionals (ASP). ASP wants to make sure that the shareware principle
works for you. If you are unable to resolve a shareware-related problem with
an ASP member by contacting the member directly, ASP may be able to help. The
ASP Ombudsman can help you resolve a dispute or problem with an ASP member,
but does not provide technical support for members' products. Please write
to the ASP Ombudsman at 545 Grover Road, Muskegon, MI USA 49442-9427, Fax
616-788-2765, or send a CompuServe message via CompuServe Mail to ASP
Ombudsman 70007,3536."
